This Privacy Policy describes how Anvara AI, LLC, 3715 Beresford Road, Charlotte, NC 28211 (“Anvara AI,” “SOW Studio,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with SOW Studio and related websites and services.
1. Scope
This Privacy Policy applies to SOW Studio users, prospective customers, website visitors, and other individuals whose personal information we process in operating SOW Studio.
SOW Studio is intended for business and professional use and is not directed to children.
When a Customer submits personal information concerning its clients, prospects, employees, contractors, or other individuals to SOW Studio, Customer generally determines why that information is being processed and Anvara AI processes it to provide the Service.
2. Information We Collect
We may collect:
Account and identity information, including name, business email address, organization, role, login and authentication information.
Workspace information, including organization settings, team membership, permissions, service catalogs, estimation rules, templates, branding, and configuration.
Customer Content, including discovery transcripts and notes, uploaded documents, requirements, client information, project information, estimates, pricing, SOWs, project-handoff information, templates, and other content Customer chooses to submit.
Usage and technical information, such as pages and features used, timestamps, browser and device information, IP address, diagnostic information, and security events.
Support communications, including information Customer submits when requesting assistance and limited diagnostic context associated with the request.
Billing information. When paid subscriptions are enabled, payment information may be processed by our payment processor. We generally do not need to receive or store complete payment-card credentials ourselves.
3. How We Use Information
We use information to provide and operate SOW Studio; authenticate users and administer workspaces; process discovery material and generate requested AI output; generate estimates, SOWs and handoff materials; provide customer support; process subscriptions and payments; maintain security and prevent fraud or abuse; diagnose errors and improve reliability; communicate about the Service; comply with law; and enforce our agreements.
We may also use aggregated or de-identified information that does not reasonably identify Customer or an individual to understand and improve the operation of SOW Studio.
4. Customer Data and AI
Customer retains ownership of Customer Data.
Some SOW Studio features use third-party artificial-intelligence infrastructure. When a user requests an AI-powered function, information reasonably necessary to perform that function may be transmitted to the applicable AI infrastructure provider.
For example, this may include discovery notes or transcripts when generating requirements, project information when preparing estimates, or relevant project materials when generating a project handoff.
Anvara AI does not use Customer Data to train Anvara AI's or SOW Studio's proprietary AI models.
Third-party AI providers process information according to the arrangements applicable to the services Anvara AI uses. We seek to use business-oriented infrastructure appropriate for processing customer information.
Customers should avoid submitting information that is unnecessary for the requested business purpose.
Because AI infrastructure and providers can evolve, we may update this Privacy Policy when material processing practices change.
5. How We Disclose Information
We do not sell Customer Data.
We may disclose information to service providers that help us operate SOW Studio, including cloud hosting and database providers, authentication providers, AI infrastructure providers, email providers, payment processors, monitoring/security providers, and other technology vendors.
We may also disclose information when required by law or valid legal process; when reasonably necessary to protect SOW Studio, our customers, or others; in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business; or at Customer's direction.
Service providers receive information only as reasonably necessary for their respective functions, subject to applicable contractual and legal requirements.
6. Data Retention
We retain information for as long as reasonably necessary to provide the Service and fulfill the purposes described in this Policy.
Retention periods may vary depending on the type of information, Customer's subscription and account status, security requirements, contractual obligations, backup cycles, and legal requirements.
When Customer Data is deleted, residual copies may remain temporarily in backups or systems designed for security, disaster recovery, fraud prevention, or legal compliance until deleted through normal retention cycles.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information and Customer Data.
These measures may include access controls, authentication, tenant isolation, infrastructure security, and controls restricting access according to user roles.
No system can guarantee absolute security.
Customers are responsible for controlling access to their workspaces, maintaining secure credentials, and deciding what information is appropriate to submit.
8. Data Location and International Processing
SOW Studio and its service providers may process information in the United States and other countries where our providers operate.
Those countries may have data-protection laws different from those where Customer or an individual resides.
If future Customer requirements require additional international data-transfer mechanisms, we may provide appropriate contractual arrangements, including a Data Processing Addendum where applicable.
9. Privacy Requests and Customer Control
Customers may request access to, correction of, export of, or deletion of information associated with their SOW Studio account by contacting support@anvara-ai.com.
Workspace-level export or deletion requests ordinarily must come from or be authorized by a Workspace Owner or Administrator.
If an individual whose personal information was submitted to SOW Studio by one of our Customers contacts us directly, we may refer that request to the Customer that controls the relevant workspace.
We may verify identity and authority before fulfilling a request.
10. Cookies and Similar Technologies
SOW Studio and related websites may use cookies, local storage, and similar technologies necessary for authentication, security, preferences, and operation of the Service.
If we introduce non-essential advertising, behavioral tracking, or additional analytics technologies, we will update our disclosures and implement consent mechanisms where required.
11. Business Transfers
If Anvara AI is involved in a merger, acquisition, financing, restructuring, bankruptcy, or sale of assets, information may be transferred as part of that transaction subject to applicable law and appropriate confidentiality protections.
12. Children's Privacy
SOW Studio is a business service and is not intended for individuals under 18.
We do not knowingly solicit children to create SOW Studio accounts.
13. Changes to This Policy
We may update this Privacy Policy to reflect changes in SOW Studio, our providers, our practices, or applicable law.
When changes are material, we will provide reasonable notice where appropriate and update the “Last Updated” date.
